A booked conversation is a useful hand-off only when the brief, timing and follow-up are clear.
Appointment generation does not end when a time is placed in the calendar. A good operational brief gives the customer and the sales representative a clear expectation of what the conversation is for.
Define the appointment before booking
Agree what qualifies as an appointment, which service areas apply, which details are collected, and how the customer’s interest should be described. Confirm whether there are timing or availability constraints your team needs to communicate.
Prepare a reliable hand-off
Choose a consistent record format for the contact details and any relevant notes. Confirm who receives the booking, how changes or cancellations are handled, and what follow-up happens if the customer cannot be reached.
Track the stages separately
A simple measurement sequence can distinguish appointments booked, appointments attended, quotes issued and opportunities progressed. These stages help a team identify where its own confirmation or follow-up process may need attention. They should not be treated as guaranteed outcomes from a lead source.
Agree the commercial terms
TJB Marketing’s published residential rate is $100 AUD per appointment. Before any campaign starts, confirm in writing the appointment definition, target locations, delivery process, volume and any applicable acceptance or replacement terms.
